What's in the workbook
Ten tabs, one file. A README explaining when it was generated and in whose timezone, then Jobs (one row per job, your custom fields included as columns), Permits, Interconnection, Requirements (your per-job checklist state), Inspections, Schedule, Invoicing, Contacts, and Notes. Dates come out as real date cells in your organization's timezone, so pivot tables and date math work without cleanup.
Two things are deliberately true about the file:
- It's your job data, complete. Every job, every status, every homeowner contact, every note your team wrote — the institutional memory belongs to you.
- Nothing in it executes. Every text cell is sanitized so a value that happens to start with a formula character can never run as a formula on your machine.
How to export
Open Settings, then Data (org owners and admins). Click Generate workbook — the file builds in a few seconds and downloads. The export history below the button keeps recent files re-downloadable, with row counts so you can see at a glance what each one carried.
Scheduled exports (Pro and up)
On the same page, Pro and Team plans can add up to three schedules: weekly on a chosen day, or monthly on a chosen date, at the hour you pick, in your timezone. When a schedule fires, TexPTO builds a fresh workbook and emails each recipient a download link that's good for 7 days.
A few rules that keep this safe and boring:
- Recipients are members of your organization only. There's no free-text address field, and someone who leaves your org stops receiving the workbook automatically — no schedule edit required.
- A missed window sends one catch-up, never a backlog. If a schedule couldn't run on time, the next run delivers one current workbook, not a stack of stale ones.
- Downgrades pause, they don't delete. Drop below Pro and your schedules are kept but stop running; upgrade again and they resume untouched.

FAQ
Do I need a special plan to export? No. The full workbook export is on every paid plan, Starter included. Scheduling it by email starts at Pro.
Is the export a backup? It's a snapshot — great for reporting, analysis, or your own archives. The live system of record stays in TexPTO, and a fresh export always reflects the current state.
Can I export just some jobs? The workbook is deliberately everything. For filtered views, the Pipeline's CSV export and the insights exports cover the narrower cuts.
What happens to my data if I cancel? Nothing is deleted when a subscription lapses, and the export existed precisely so you could take a complete copy with you at any point before that.
